5 Easy Business Productivity Tips you Need to Know – Part II

Want to be even more productive?  I mean seriously obtaining mega output with the same or even less effort?  Want more time in your life to spend on what really matters – moments with family, friends, and the causes you support?  Here are the second five of 15 proven techniques to help you perform at your best to really excel in your business.

Productivity is more than time management.  It’s Focus Management.  This means focusing on organization, resources, and mindset to get the most output with the least effort.  How many of you think that if you were just a tiny bit more productive, you’d make a lot more money in your business and serve a lot more customers?  It’s much easier than you think.  Here is the second of three posts and it covers resource management.

Plan virtual meetings: Decide if it makes more sense to meet with someone by phone instead of in person whenever possible.  I call these virtual coffees and they are very effective at increasing productivity.  I can accomplish more doing four 15-minute calls instead of attending four in person meetings.  Calls save drive time, gas, getting ready time, and more.  In the past, I’ve driven across town to meet with someone in person, then found it was a bad fit for both of us.  Sometimes people feel obligated to stay for the full hour to fill the time when really the meeting shouldn’t have been accepted at all but no one wants to look rude.  Try virtual coffees instead. Of course, face to face meetings are key for some situations, but finding the right balance can save your hours every week so you can focus on what really matters.

Implement the 80/20 principle:  Focus on the activities that return the highest results.  There is a lot of truth to the 80/20 principle and it works.  Focus on doing more with the 20% that bring a solid return for marketing, customers, products, and more.  Doing anything outside of the 20% is not worth your effort.  There are tons of tools that help you identify the 20% which I reveal in my upcoming Denver Ultimate Business Boot Camp workshop on February 19.  Join me to hear proven ways to focus on the 20%

Delegate:  Write this down …524.  That’s the hourly wage of a millionaire including 5 weeks of vacation.  If you plan on making millions and giving millions away to the causes you support, you have to focus on activities like a millionaire.  There is someone who can do task much better than you, so let them so you can focus on what you are good at – growing your company to serve more people.  Delegate your household chores, your bookkeeping, your social media – anything that is not generating revenue for your company.  Millionaires focus on revenue making activities.

Follow 50/10:  Even when you are in the flow with something, it’s critical to give your body and mind a rest at least once an hour. I set my ipad alarm to ring at ten minutes before each hour as a reminder to get up, drink water, walk around, and come back refreshed.  The alarm has another benefit of keeping me focused when I’m doing a task I don’t particularly like.  I know I just have to work through the effort for a few more minutes before the break.  I used the 50/10 technique when I was in corporate consulting.  My meetings and training sessions never ran more than 50 minutes without a break. Try it and see how much more productive you and your team can be.

Increase your energy:  Being even more productive is a factor of energy.  When energy is high, everything feels effortless. When energy is low, tasks feel like a burden.  Drinking water, moving, sleeping, and general good health all contribute to productivity.  Some people say sleep is overrated, but it truly makes a big difference in your energy and thus productivity.  Be increasing your productivity by following the tips above, you will actually have more time for sleep – guaranteed!  Small changes in health lead to big changes in results.

These are some of the habits that highly productive people do consistently every day.  Slight changes can and will make a huge difference in your results if you start doing them today.  Next week, I’ll post about ways to be even more productive with simple techniques you can use to manage your mindset (better focus, silencing your doubter, etc.)
